Refund & Cancellation Policy

Prodaxis follows a phase-based delivery model where you pay only after each phase is approved. This policy explains how cancellations and refunds work — clearly and fairly for both sides.
01How payments work at Prodaxis
To minimise risk for both client and Prodaxis, every engagement follows a phase-based payment model:
- The total project cost is split across phases (typically 4 phases at 30% / 20% / 30% / 20%)
- Each phase has clear deliverables documented in your Project Proposal
- Invoices for each phase are issued before work on that phase begins (Phase 1) or upon approval of the previous phase
- You pay only when you're ready to start the next phase
This way you never pay for work that hasn't happened yet, and you can stop the engagement after any approved phase.
02Cancellation by the Client
You may cancel an active engagement at any time by sending written notice to hello@prodaxis.in. The cancellation rules depend on the phase status:
- Before any work begins on a phase: Full refund of the unused portion of that phase's payment, less any non-recoverable third-party costs (domain registration, paid SaaS subscriptions, etc.) already incurred on your behalf.
- While a phase is in progress: Refund equal to the unused portion of the phase, calculated based on the % of work completed at the time of cancellation. Prodaxis will share a status report and time log to support the calculation.
- After a phase is completed and approved: No refund for that completed phase. You retain ownership of the deliverables for that phase upon full payment.
03Cancellation by Prodaxis
In rare cases, Prodaxis may cancel an engagement — for example, if scope changes drastically beyond what was agreed, if there are repeated material delays from the client side, or if continuing the engagement would breach our values. In such cases:
- We will provide a minimum of 7 calendar days' written notice
- We will hand over all completed deliverables
- You will be refunded any pre-paid amount for work not completed
04Refund process & timeline
- Refund requests are acknowledged within 2 business days
- Eligible refunds are approved within 5 business days of the request
- Refunds are processed via the original payment method (Razorpay)
- Razorpay typically credits the refund to your account within 5-7 business days of approval
- For UPI / Net Banking, refunds usually arrive in 2-4 business days; for credit cards, up to 7-10 business days depending on your bank
- You will receive an email confirmation when the refund is initiated, with the Razorpay refund reference number
If a refund hasn't reached you within 14 business days of approval, please contact us with the reference number and we will investigate.
05Non-refundable items
The following are not refundable once paid:
- Work already completed and approved by you in a previous phase
- Third-party costs paid by Prodaxis on your behalf (domain registrations, SSL certificates, paid SaaS / API subscriptions, hosting, design assets, stock images / fonts purchased for your project)
- Time spent on discovery, scoping, and proposal preparation if you cancel before signing the Project Proposal (these are usually offered free; refer to your engagement terms)
- Government taxes (GST) collected and remitted — these can be claimed back from the tax authority if applicable
06Duplicate or accidental payments
If you accidentally pay the same invoice twice or pay an incorrect amount, contact us immediately at hello@prodaxis.in with the Razorpay payment IDs. We will refund the duplicate / excess amount within 3 business days — no questions asked, no deductions.
07Disputes & chargebacks
If you have a concern about a charge, please contact us first. We genuinely want to resolve issues amicably.
- Initiating a chargeback through your bank without first contacting us is discouraged — it triggers fees and disputes that hurt both sides
- If a chargeback is filed against a paid and delivered phase, Prodaxis will provide evidence of work delivered (Project Proposal, approval emails, deliverable handover, activity log) to Razorpay
- Wrongful chargebacks may result in suspension of the engagement and access to the client portal
08Maintenance & support contracts
If you have an ongoing monthly maintenance contract with Prodaxis:
- You may cancel with 30 days' notice — you'll be billed for the current month, after which the contract ends
- Pre-paid annual contracts are refunded pro-rata for unused full months, less a 10% administrative fee
- No refund for the partial month in which cancellation is requested

- Your name and registered email
- Project / Invoice number(s)
- Razorpay payment ID(s)
- Reason for refund / cancellation
